Terms of Service

These terms govern access to and use of the AdmitFlow admissions platform, including student portals, institution admin workspaces, document workflows, and all related services.

Acceptance of Terms

By accessing or using the AdmitFlow platform, including any student portal, institution admin workspace, platform admin interface, or related service, you agree to be bound by these Terms of Service. If you do not agree, do not use the platform.

These terms apply to all users including students, institution staff, institution owners, and platform administrators. Continued use of the platform after any modification to these terms constitutes acceptance of the revised terms.

Platform Access and Accounts

AdmitFlow provides a cloud-hosted admissions infrastructure platform. Access is granted through role-based accounts: student accounts for application workflows, institution accounts for admissions management, and platform admin accounts for institution onboarding and operations.

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. Notify us immediately if you suspect unauthorized access to your account.

Accounts may be created by invitation from an institution, by direct registration through the student portal, or by platform administrators during institution onboarding. Account creation implies acceptance of these terms.

Permitted and Prohibited Use

You may use AdmitFlow only for lawful purposes related to admissions workflows, document submission, application review, and related institution operations. You may not use the platform to transmit false, misleading, or fraudulent information.

Prohibited activities include: attempting to reverse-engineer the platform, gaining unauthorized access to data belonging to other users or institutions, uploading malicious software, using automated means to scrape or extract data without authorization, or using the platform in any way that violates applicable law.

Institutions are responsible for ensuring their staff users comply with these terms and for the accuracy of institution profiles, programme information, and admission requirement configurations maintained on the platform.

Student Submissions and Documents

When you submit an application, upload documents, or provide information through the platform, you represent that the materials are accurate, belong to you, and that you have the right to share them for admissions processing.

Uploaded materials may be reviewed by institution staff, processed by AI-assisted review tools that identify quality issues or missing items, and retained as part of your application record. AI review outputs are advisory only — all final admissions decisions are made by authorized institution staff.

AdmitFlow does not guarantee admissions outcomes. Submission of an application through the platform does not create any obligation on the part of an institution to admit or enrol the applicant.

Payments

Some institutions may charge an application fee as part of the admissions process. Where an application fee applies, payment is processed through Stripe, a third-party payment provider. By submitting payment, you agree to Stripe's terms of service in addition to these terms.

Application fees are generally non-refundable unless otherwise stated by the institution. Fee amounts and refund policies are set by each institution and displayed at the time of payment.

AdmitFlow acts as a payment facilitator on behalf of institutions. Contact the institution directly with billing inquiries or refund requests.

Intellectual Property

All software, design, trademarks, and platform content provided by AdmitFlow remain the property of AdmitFlow or its licensors. You may not copy, reproduce, modify, or distribute platform materials without written permission.

Student-submitted documents and institution-created content (such as programme descriptions and requirement configurations) remain the property of their respective owners. By uploading content to the platform, you grant a limited license to process, store, display, and transmit that content as required to operate the service.

Disclaimers and Limitation of Liability

The AdmitFlow platform is provided on an "as is" and "as available" basis. We make no warranties, express or implied, regarding uptime, fitness for a particular purpose, or the accuracy of AI-assisted review outputs.

To the maximum extent permitted by applicable law, AdmitFlow shall not be liable for indirect, incidental, special, consequential, or punitive damages arising from your use of the platform, including loss of data, loss of admissions opportunity, or service interruptions.

Our total liability for any claim arising out of your use of the platform shall not exceed the amount you paid to us (if any) in the twelve months preceding the claim.

Termination

AdmitFlow reserves the right to suspend or terminate access to the platform at any time, with or without notice, for conduct that violates these terms, for suspected fraud or abuse, or for any other reason at our sole discretion.

You may stop using the platform at any time. Upon termination, your right to access the platform ceases, but sections of these terms that by their nature should survive (including intellectual property, disclaimers, and limitation of liability) remain in effect.

Changes to These Terms

We may update these Terms of Service from time to time. When we do, we will post the updated terms on this page and update the effective date. For material changes, we may provide additional notice through the platform or by email.

Your continued use of the platform after any changes take effect constitutes your acceptance of the revised terms. If you do not agree to the new terms, stop using the platform.

Governing Law and Contact

These terms are governed by the laws of the jurisdiction in which AdmitFlow operates, without regard to conflict of law principles. Any disputes arising from these terms or your use of the platform shall be resolved in the courts of that jurisdiction.
